Your role: An Office Administrator & Member Support Specialist Where you'll work: In our gorgeous, light, bright offices on Queens Lane, Melbourne (surrounded by great coffee options and walking distance to Fawkner Park and Albert Park Lake) Join our small but dynamic team at Design Matters National, where your contributions will have a direct impact on Australia's building design industry. We are seeking an organised and proactive office all-rounder to provide crucial administrative support to our staff and assist our valued members with enquiries. As part of our busy and supportive team, you'll play a key role in keeping our operations running smoothly and ensuring our members receive top-notch service. As the ideal candidate, you thrive in a fast-paced environment, demonstrating exceptional communication skills and administrative efficiency. This role offers a unique opportunity to be at the heart of Australia's design community, interacting with industry professionals and contributing to the growth of our organisation. Key Responsibilities: Membership Management: Process applications, renewals, cancellations, and invoicing Follow up on payments and handle refunds Update member profiles and create custom reports on metrics Customer Service: Manage consumer enquiries with a professional, confident manner Administrative Tasks: CRM and database management/maintenance Process expense claims Distribute daily digital Industry News Brief Assist with general office duties and projects as directed by CEO Digital Communications: Manage Mailchimp contacts and automation Handle social media (posting, caption writing, analytics reporting) Event Administration: Coordinate event logistics for industry gatherings and professional development sessions Manage registrations and attendee communications Assist with on-site event operations Key Attributes: Task-oriented with strong multitasking and prioritisation skills Detail-oriented and able to manage various administrative operations simultaneously Self-motivated, able to work independently and remain focused Proactive problem-solver with a strong work ethic Collaborative team player willing to seek assistance when needed Requirements: Experience in an administrative position Excellent written and verbal communication skills Strong organisational and time management abilities Proficiency in MS Office suite Experience with accounting systems (Xero) and social media management (Instagram/LinkedIn) Ability to uphold the organisation's brand voice and values Knowledge of Mailchimp will be highly regarded This role offers an exciting opportunity to showcase your administrative talents while contributing to the success of Australia's design industry.
